LEADERSHIP CAPITAL ASSISTANT
Job Description
Primarily working alongside the Vice President of Leadership Capital (LC) to oversee and ensure the orderly administration of a decentralized and mostly part-time Leadership Capital Team (LC Team). This will entail problem solving for the team and engaging
with clients to coordinate and handle issues as they arise.
Essential Functions:
- Internal Communications Coordinator
- Telephone point of contact for LC Team
- Manage CRM database and documentation of clients and potential clients
- Handle all Leadership Capital billing and invoicing
- Process vendor invoices
- Coordination with client administrative staff when they are hosting LC events like retreats and StratOp
- Coordination of StratOp client materials to include shipping of materials ahead of the event (notepads, mugs, etc.) and printing and delivery of follow up soft and hard copy materials
- Provide executive and administrative assistance to the Leadership Capital staff as requested
- Handle schedule and calendar (meetings and conference calls) for the VP of Leadership Capital
- Read and respond to VP of Leadership Capital’s emails
- Complete travel reimbursement requests for VP and Lead Team
- Small event coordination, restaurant, room and catering reservations
- Complete correspondence, reports, memorandum and other documentation as assigned
- Assist in coordination of small projects and ensure timelines and members of the LC Team meet deadlines
- Assembly of group itineraries, group bios and other communications materials in Word or Pages
- Coordinate shipping needs (UPS, FedEx, Priority Mail, etc.) for the Leadership Capital Team and ship materials for staff as needed
- Special projects and duties as assigned
- A living, vital faith in Jesus Christ
- High School Diploma required, Bachelor of Arts preferred
- Minimum 3 years of executive office assistant experience preferred
- Professional, positive and respectful written and verbal communication skills, this position interacts with executive level church leaders and their staff
- Problem solving skills with the ability to navigate complexity and vague situations, determine what is required to complete the task and what questions need to be answered
- Administrative skills, planning, organizing, scheduling, working independently and understanding what prior precedents are applicable
- Project management skills to include task management organization through to-do lists, stakeholder communication, team management, negotiation, critical thinking and the ability to make strong decisions
- Strong computer skills including experience with Microsoft Office Products, CRM and MS Excel in particular, other software tools such as Eventbrite and Basecamp.
- Previous experience in a church or non-profit preferred

- Classification: Regular Part Time, 25-29 hours per week
- FLSA: Non-Exempt
- 80-90% executive level assistant and 10-20% project coordination and management

Working Conditions
This position requires prolonged sitting, standing, walking reaching, twisting, turning, bending, and stooping in the performance of daily office activities. It also requires grasping, repetitive hand movements and fine coordination in providing statistical
reports and data using a computer keyboard. Additionally, the position requires near vision in reading correspondence, statistical data and using a computer. Hearing is required when communicating by phone and/or in person. The need to lift, drag, and push
files, paper and documents weighing up to 25 pounds is also required.
