GENERAL SUMMARY: The Promotions Coordinator is responsible for assisting in the day-to-day tasks in the Promotions Department. Responsibilities include creating, organizing and successfully executing station promotions, listener relations, and event management. This position will perform copy-writing for station promotions and PSAs and schedule these announcements through Wide Orbit and Promosuite, etc. The Promotions Coordinator will work closely with the following departments: Sales, Programming, Production, and Traffic.

ESSENTIAL JOB DUTIES:(Responsibilities, Accountabilities, and Competencies; May not include all duties of this job)

1. Schedule station and sales events and maintain promotional calendar.


2. Plan and coordinate on-site station and sales events and concerts.
Implement standards to maintain station image as well as
encourage promotions team to cheerfully represent the station in a
positive light to the public. Actively engage in communication with
station audience.

3. Coordinate internal communications with Webmaster, Sales
Account Executives, On-air Talent and other staff to ensure
successful promotions.

4. On-air promotions: Organize and communicate all aspects of weekly
contests and communicate details to the Programming staff. Work
with the Sales department Sponsor to gather needed information.
Use Promosuite software to accomplish this process.

5. Contact contest winners, coordinate logistics and prize distribution
to listeners in a timely manner.

6. Create promotional and event recaps for clients and sales account
executives documenting on-air mentions, audio clips, event photos,
website content, etc.

7. Meet with the Promotions Director a minimum of four times per
month to communicate the status of current promotions and
brainstorm new ways to create excellent station promotions.

8. Attend necessary promotions and sales meetings.

9. Oversee volunteers, interns and promotional team on-site during
station appearances, events, concerts and client remotes.

10. Create remote promo/PSA copy and schedule using Wide Orbit.

11. Maintain promotional closet and station giveaways. Work with
station vendors to order giveaways. Generate ideas and actively
seek new promotional giveaways that maintain station brand.

12. Oversee daily maintenance of station vehicles including gas fill-ups,
vehicle washes and internal cleanliness.

13. Perform other related duties as assigned.

 

SUPERVISORY RESPONSIBILITIES: Supervise a minimum of four staff. Develop agenda and conduct weekly promotions team meetings. Oversee scheduling of promotions team to ensure all station events are properly staffed and have the necessary resources available to them to execute successful station events.

ESSENTIAL QUALIFICATIONS: (Any Equivalent Combination of Knowledge, Skills, Abilities, Education and Experience)

2. Education: High school diploma or equivalent.

3. Experience: 1-2 years event marketing or radio promotions experience.

4. Licensure/Certification: Valid Texas State driver’s license.

5. Other Considerations:

  1. At least 21 years old.
  2. Available to work weekends, evenings and holidays as necessary
  3. Excellent driving record.
  4. Clear and concise communication skills.
  5. Detail oriented.
  6. Solid organizational skills and successfully managing multiple projects
  7. simultaneously with good follow through.
  8. Function as a team player.
  9. Work well under pressure.

6. Software and Equipment Used: PromoSuite, RCS Selector & Linker, Wide Orbit, Presslaff Interactive Revenue, Proficient user of Microsoft suite and internet. Experience with relevant social media tools such as Facebook, Twitter, MySpace and YouTube.

PREFERRED QUALIFICATIONS: (Any Equivalent Combination of Knowledge, Skills, Abilities, Education and Experience)

1. Education: Bachelor’s degree in Communication, Broadcast, Journalism or
related field from an accredited college or university recognized by the United
States Department of Education or equivalent.
2. Experience: 1-2 years customer service, public relations, marketing, or event planning.
4. Software and Equipment Used: Experienced in Graphic Design and HTML web design.
